The whole practice, one record

Every tool below writes to the same patient chart. The screens show Harborlight Counseling, an example practice running on Valence.

01

Your practice, your brand

Patients see your practice, not our software.

  • Your logo and colors appear on the booking page, the video room, and the patient portal.
  • Your practice gets its own address: yourpractice.valencebh.com.
  • Reminders and emails go out under your practice's name.

Meet Harborlight Counseling, the example practice in every screen that follows.

Care pathways

The follow-up work your front desk never has time for: intake packets, reminders, no-show outreach, and check-ins that send themselves. You can see exactly what went out, and when.

  • Start from a template: new-patient intake, no-show follow-up, re-engagement, measurement-based care. Adjust the timing and publish.
  • Every step reads as a plain sentence. If you can read it, you can change it yourself, without a flowchart or a consultant.
  • Texts keep to quiet hours and a weekly limit, and a patient who has opted out stays opted out. Crisis alerts are never automated away.
  • A log on each chart shows every message, task, and skipped step, so "did anyone follow up?" always has an answer.

A published care pathway in Valence: when a new patient is created, forms are assigned and a portal invite goes out, a reminder follows three days before the due date, and an overdue packet becomes a task for the clinician.

Video visits & self-scheduling

Patients book their own appointments and join with one tap, so sessions start on time.

  • Patients tap the link in their reminder and they're in the room. They don't need an app, an account, or a password.
  • Sessions run in any browser on any device, with a quick camera and mic check before joining.
  • Patients book against your real availability. You set the slots, session types, and buffers, and the calendar won't let anyone double-book.

Measurement-based care

Know how every patient is trending before they sit down.

  • A dozen validated instruments come built in, including the PHQ-9, GAD-7, PCL-5, EPDS, AUDIT-C, ASRS, and ASQ.
  • Each instrument scores itself, bands the severity, and charts the trend across administrations.
  • A suicide-risk or self-harm answer flags the screen the moment the patient submits it and opens the crisis protocol.
  • A high score can start a pathway on its own: alert the clinician, shorten the time to the next check-in, send crisis resources. The screener and the follow-up live in the same system, so nothing depends on someone remembering.

Charted messaging

Secure patient threads that live in the chart instead of on anyone's personal phone.

Smart reminders

Text and email before every appointment, plus a second nudge for anyone who hasn't confirmed. The second one is what moves the no-show rate.

Digital intake

Patients finish their paperwork before the first session.

Card-on-file payment

The card is charged when the visit ends, so there's nothing to invoice.

Calendar sync

Appointments flow into the calendar you already use.

The follow-through you've been doing by hand

Free white-glove migration

Switching over? We move you in.

If you're leaving SimplePractice, Blueprint, Headway, or Alma, we set the whole thing up for you. You keep seeing patients while we do the typing. The move is free, and you're never locked in.

  • We import your client list: names, contacts, and history.
  • We rebuild your intake forms and assessments.
  • We set your availability, services, and rates.
  • You keep your patients, and your full rate. We never touch your revenue.

Boring where it counts

Your patients' records are PHI. Here is exactly how we handle access, auditing, and session audio.

Separated by organization

Every record is scoped to your practice. There's no toggle that could expose another practice's data; the separation is built into how the database works.

Access by role

Admins, providers, front desk, and patients each see only what their role allows. A provider sees their own caseload. A patient sees only their own record.

Audit log by default

Profile edits, notes, comments, and deactivations are written to the patient's audit log automatically. You don't have to turn it on.

Audio you don't keep

Sessions aren't recorded by default. If you opt into AI notes, the audio is processed for the note and then deleted. We don't store it, and we don't train AI on it.

Common questions

What practices ask before they switch.

How much does Valence cost?
There's no monthly fee and no per-seat license. You pay for what you use: $0.01 per video minute, $0.008 per minute for AI notes on video sessions, $0.012 per minute for in-person AI notes, and $0.03 per SMS reminder. It's capped at $69 per clinician per month. New practices start with a $100 credit and no card on file.
How are AI session notes kept private?
Transcription runs on our own servers, so session audio never goes to a third-party service. The audio is processed for the note and then deleted. We don't store it, and we don't train AI on it. Sessions aren't recorded by default.
How is Valence different from Blueprint or SimplePractice?
SimplePractice charges a monthly per-seat subscription whether you see patients or not. Blueprint is an AI-notes add-on that sits next to your EHR. Valence runs the whole practice: scheduling, reminders, telehealth, notes, intake, and billing. It only charges when you're with a patient, and the AI notes never leave our servers.
Does Valence support group sessions?
Yes. Group telehealth is built in. An appointment can hold multiple patients and co-facilitating providers, the video room is roster-based, and patients never see each other's records.
Can patients book and pay online?
Yes. Patients book from your public scheduling page (you can require provider approval), get SMS and email reminders they can confirm or reschedule from, and pay by card on file. Valence generates superbills for out-of-network reimbursement.
How long does it take to get started?
Most practices are up and running in a few minutes. Signup is self-serve, with a $100 credit and no card required. Create your practice, upload your logo, and try AI notes on a mock session right away.
I'm leaving another platform. Can you help me switch?
Yes, and it's free. Send us your client list, forms, and availability from SimplePractice, Blueprint, Headway, or Alma. We set up your patients, intake templates, assessments, services, and logo for you. You keep seeing patients while we handle the move, and we never take a cut of your rate.
Will Pathways spam my patients?
No. Texts go out between 8am and 9pm in the patient's own time zone, each patient has a weekly cap, and a patient who has opted out of texting is skipped while the rest of the pathway continues. Every send and every skip is recorded in the log.
Do I have to build automations myself?
You start from a template (new-patient intake, no-show follow-up, re-engagement, measurement-based care) and adjust the timing if you want. Every step reads as a plain sentence. Setting one up takes a few minutes.

Watch a group session run end to end

Give us thirty minutes on your actual workflows. We'll set up a group appointment, watch a no-show text go out and the patient rebook, and join the video lobby together. We don't do scripts or slideshows.
